Banner Quality Management Inc. (BQMI) is searching for an Administrative Assistant to support the Infrastructure Division at (NSWC Crane) located in Crane, Indiana. The right candidate will join the infrastructures team.

Essential Duties & Responsibilities:
- The successful candidate shall develop, prepare and maintain program/project execution reports, such as Microsoft Project plans and Excel spreadsheets for use in the reporting and reviews of the various projects being supported. The successful candidate shall develop and prepare presentations to support briefings and reviews. The successful candidate shall be required to provide database support. The successful candidate shall provide data management support associated with specified systems. This effort may include providing administrative and managerial support for technical manuals, drawings and other technical data.
- The successful candidate shall maintain records, prepare reports and provide comments as required, subject to Government approval. The successful candidate shall support the establishment of technical data tracking systems/tools, and in the control and dissemination of materials as required to support the projects.
- The successful candidate shall perform planning support in the identification and definition of initiatives and programs supporting various business requirements including strategic; organizational; technical; and operational. The successful candidate shall generate plans and proposals to guide the development and implementation of selected approaches and capabilities. The successful candidate shall schedule and conduct planning meetings; prepare documents; presentations; distribute requirements; collect and compile inputs; generate notes/action items; and maintain metrics.
- The successful candidate shall provide management and operational support including office management, meeting and event coordination, preparation of documents/presentations, distribution of information, metrics management, and logistics support. The successful candidate shall provide support for the successful operation of the organization. The successful candidate shall provide front desk staffing to provide visitor greeting, control, and administrative assistance, and shall use paging systems and/or help with visitors. The successful candidate shall perform scheduling and organizing of meetings, events and conferences including conference rooms and other spaces required to implement the activity. The successful candidate shall schedule conference rooms utilizing the common iCrane SharePoint calendar. The successful candidate shall support the visitor request process to ensure authorized and appropriate personnel are allowed access to buildings and spaces. The successful candidate shall provide support for personnel moves by completing required paperwork and monitoring progress. The successful candidate shall perform asset tracking as requested to maintain accurate inventory of equipment, materials, and supplies. The successful candidate shall maintain the inventory of office supplies and shall initiate replenishment efforts with the appropriate Government entity.
- The successful candidate shall perform data/information management support including the creation and/or review of data dictionaries; information integrity analysis; data source determination and authentication; and evaluation and assessment of business management systems and tools. The successful candidate shall support the management of data by performing data identification, capture, upload, validation, assessment/analysis, storage, and transfer. The successful candidate shall electronically input data into numerous databases, utilizing Government and Nongovernment software programs. The successful candidate shall use database contents to generate information, analyses, reports, and import/export of data. The successful candidate shall provide collaboration, document management, and database tool administration support including configuring and maintaining information, document libraries, enterprise lists, site collections, and data.
- The successful candidate shall perform social media and communications support and coordination via iCrane, Fusion, collaboration tools, articles, news, info sharing, blogs, discussion forums, and other platforms and applications as required. The successful candidate shall perform iCrane SharePoint administration, fusion administration, and support for other tools and software applications as requested. The successful candidate shall generate content, oversee operations, and perform analyses and reporting of trends, inquiries, key topics, traffic profiles, and other measures of social media use/success.
- The successful candidate shall provide support for the Quality Focal Point (QFP) and Crane Management System efforts by supporting adherence to the ISO 9001 quality standard. The successful candidate shall provide support in the development and management of documents related to quality programs including controlled documents, process documents, formal ISO documentation, and other related forms, templates, and tools. The successful candidate shall support the development and documentation of quality metrics including identifying, assessing, establishing measurement processes, capturing data, performing analysis, and reporting. The successful candidate shall provide support in the planning and establishment of management tools and management systems that measure the effectiveness and efficiency of internal operations, workload performance, and other business operating functions. The successful candidate shall support the identification of continuous improvement initiatives and support these as a facilitator or participant. The successful candidate shall assist in reporting, tracking, and updating quality actions in the Crane Action Management System including audit and assessment findings, self and internal assessments, management review outputs, and improvement initiatives.
- The successful candidate shall support the overall efficiency and effectiveness of the organizations management procedures. The successful candidate shall create, revise and clarify procedures to eliminate conflict or duplication. The successful candidate shall advise when new procedures are needed for changing situations and shall support implementation of alternative procedures. The successful candidate shall identify and resolve various complex problems that affect the flow of work transactions. The successful candidate shall perform tasks such as data collection coordination, meeting minutes, tracking action items, preparing presentations, developing standard operating procedures, and other tasks to support process improvement.
- The successful candidate shall perform continuous improvement support by assisting in identifying improvement candidates, developing analysis, determining strategies and approaches, and generating plans and related documentation. The successful candidate shall as request, perform as a facilitator and/or a participant in activities, meetings, and initiatives to develop improvements to efforts, processes and procedures. The successful candidate shall support the development, implementation and operations of improvements using the plan, do, check, act process, and other methods and tools.
- The successful candidate shall support customer advocacy efforts in support of inter and intra agency support agreements. The successful candidate shall develop new or update existing processes and procedures to support implementation and execution of customer agreements. The successful candidate shall communicate requirements, and assist in the preparation, management, and execution of these agreements
- The successful candidate shall coordinate, compile, and enter required performance related data into various reports, analyze the data and make recommendations on implementation improvement areas, techniques and processes. The successful candidate shall use a variety of systems, information, and tools to perform data collection, analysis, and reporting to assist in the management of efforts and initiatives. The successful candidate shall use statistical techniques for process analysis and data analysis to derive cost reductions and potential savings through implementation of recommended changes.
- The successful candidate shall provide management support, oversight, and/or support of the department and division risk management (RM) programs including developing requirements, gathering, documenting, managing, and disposition of risk items.
- The successful candidate shall support the operations and improvement of the RM processes and efforts. The Crane Op Center application, or other tools will be used to support management and review of risks and related information. The successful candidate shall perform RM lead support duties as requested and convene and oversee the operations of the risk management board, and attend corporate meetings as required.
- The successful candidates hall prepare, review, revise, and maintain documents, including process, technical, quality, software and systems, operations, testing, and user documentation. The successful candidate shall write for a variety of audiences, from non-technical to experienced personnel and shall gather customer feedback on documentation to improve understanding and usability. The successful candidate shall gather and analyze technical and product/service information from various sources to document new or changing elements and communicate the information in a way that is engaging and understood by readers. The successful candidate shall use communication methods that go beyond traditional documentation, such as videos, demos, digital tours, and other educational techniques. The successful candidate shall support team collaboration efforts to plan, research, write, and revise printed and online documentation, including general overviews, user guides, tutorials, instructions, process and procedures, training class materials, and other documents as needed.
- The successful candidate shall, for items in this statement of work develop and impart information to be used in informing various entities of changes to or implementation of new processes, strategies, tools, operations, improvements, and other support efforts. The successful candidate shall support organizational learning/teaching at multiple levels including function and skills training, initiative and strategic knowledge instruction, customer and user education, training on use of work processes, tools, and techniques, internal and external communications to a wide variety of audiences, and continuous/process improvement education. The successful candidate shall develop educational material and provide courses as required to meet the requirements identified within the scope of this task order.
- The successful candidate shall support the operations and support of the DTS system and its use to support travelers. The successful candidate shall review travel orders in DTS prior to management approval, track and verify all Government employee training time utilizes the appropriate NWA, and ensure all personal, confidential and private information is kept secure.
- The successful candidate shall provide support in the development and execution of customer agreements. The successful candidate shall support a variety of arrangements both internal and external by documenting informal agreements, memorandums of agreement, memorandums of understanding, and others.
- The successful candidate shall assist in determining, describing, documenting, and disseminating information related to products and services available and methods and arrangements to provide to customers. The successful candidate shall develop other documentation, proposals, and plans when required to support agreements.
Essential Skills:

Experience/Education:
- High school
- Minimum 2 years of Administrative Assistant experience
- Experience in GEARS preferred.
