Overview

The Asset and Records Management Specialist is mainly responsible for maintaining and executing the record retention schedule of the assets in our library. This role will also be cross trained to update metadata about the assets in the system and handle image requests that come in from external sources.

Responsibilities

Records Management:

  • Maintain and continuously improve records retention policies and procedures.
  • Ensure compliance with legal and regulatory requirements for records retention.
  • Manage the lifecycle of records, including distribution, maintenance, and disposal.
  • Conduct regular audits to ensure records are accurately maintained and securely stored.
  • Train and support staff on records and asset management best practices.

Asset Management:

  • Oversee the organization and distribution of marketing assets.
  • Maintain a digital asset management system to ensure easy access and retrieval of marketing materials.
  • Identify brand inconsistency across all marketing materials and assets.

Other Duties:

  • Monitor and report on the effectiveness of records and asset management programs.
  • Work independently with limited supervision and handle complex problems.
  • Influence others regarding policies, practices, and procedures.
  • Maintain effective and professional interactions with others to achieve company goals.
  • Uphold company quality standards.
  • Communicate effectively both orally and in writing across various levels of the global organization and with external parties.

Qualifications

  • Bachelor's degree in library or computer science, digital arts, marketing, business or equivalent experience
  • 2-4+ years relevant experience with data and record management
  • Data-driven with a high degree of attention to detail and passionate about measuring success
  • Understanding of data structures as it applies to different types of objects preferred
  • Experince as part of a record retention team and research methods preferred
