The Office of the Vice Provost for Faculty and Academic Affairs (OVPFAA) supports faculty across the full span of their academic careers from recruitment through retirement. Its mission is to enrich the campus community by advancing the centrality of the academic mission, advocating for faculty, and enhancing excellence in teaching and learning. OVPFAA works collaboratively with campus partners to ensure strong faculty support systems and a thriving academic environment.

Within OVPFAA, Academic Personnel Policies and Services (APPS) serves as the primary point of contact for IU Bloomington schools and departments on academic human resources matters. APPS oversees academic transaction processing and maintains academic personnel records, while also serving as a trusted resource for policy and records guidance. The office manages academic personnel actions for academic appointees, facilitates promotion and tenure processes, administers leaves, conducts records audits, and supports recruitment activities across the Bloomington campus.

Under the direction of the Assistant Director of Academic Personnel Policies and Services, the APPS Academic HR Specialist provides a wide range of high-level support to OVPFAA and Bloomington campus.

Department-Specific Responsibilities

  • Facilitates faculty and academic affairs for various HR processes, including recruitment, edoc-processing, and reappointments.
  • Consults and provides guidance to staff and faculty on a wide range of academic HR issues.
  • Serves as a campus resource for all academic departments regarding faculty HR issues. Explains and clarifies IU policies and procedures for faculty.
  • Ensures compliance and integrity within IU systems.
  • Assists in campus recruitment efforts for faculty appointments, including the review and approval of documents in the PeopleAdmin recruitment system.
  • Acts as liaison to HRMS team regarding academic eDoc errors or system issues.
  • First point of contact for questions regarding academic family leaves, probationary status and related processes for non-tenure track faculty.
  • Coordinates the annual Academic Personnel Action Roster (APAR) and reappointment review processes at the campus level, including analyzing data, preparing communications, and developing reports submitted to department and RC/School leadership.
  • Facilitates the review of budget load errors, recommends solutions and reconciles reports.
  • Facilitates the summer appointment process to ensure salaries do not exceed campus thresholds, and approves summer compensation in alignment with campus guidelines.
  • Prepares agenda items to be recommended to the Board of Trustees.

General Responsibilities

  • Facilitates faculty affairs, including hiring, promotion and tenure process, and awards.
  • Helps manage processes for faculty appointments, ensuring compliance with institutional policies and procedures.
  • Assists with the promotion and tenure review cycle, ensuring adherence to university guidelines.
  • Serve as key point of contact for faculty inquiries and collaborates with university leadership to resolve issues.
  • Researches and stays up-to-date on relevant HR topics and university policies.

EDUCATION

Required

  • Bachelor's degree in related field required

WORK EXPERIENCE

Preferred

  • Some experience in academic HR or related experience
  • 1 year of academic HR or related experience

LICENSES AND CERTIFICATES

Preferred

  • SHRM-CP/PHR within 1 Year From Date of Hire

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. Up to $55,000 per year based upon experience
