STUDENT LEGAL SERVICES (BL-SLEG-IUBLA)

The Office of Student Legal Services (SLEG) has responsibility for providing legal advice and services to the students of Indiana University Bloomington. The varied legal matters a population the size of the Bloomington Campus can encounter including prosecuting and defending lawsuits and administrative proceedings brought by and against IU Students. The office also provides advice to students on a day-to-day basis on topics ranging from criminal matters, immigration and contract review to financial matters. Support staff must maintain the highest level of professionalism and confidentiality in dealing with all constituencies.

Department Specific Responsibilities

  • Provides support to the office, including 5 Attorneys, 15-25 law student interns and office managers as requested, as well as the students requesting legal support.
  • Responsible the following: reception duties; answers telephones and directs calls; verifies eligibility, conflicts of interest and determining if legal issues presented are within the framework of cases that SLS can assist with.
  • Refers ineligible requests for assistance to the correct services, including campus partners, private attorneys or other agencies; drafts/edits legal correspondence, contracts, reports.
  • Maintains calendars and scheduling appointments taking into consideration the nuance of the legal issue presented while also understanding which staff member would be the appropriate choice for scheduling; overseeing mail processing.
  • Maintains accurate electronic files; overseeing communications with various constituencies.
  • The person in this position is the first departmental contact and serves as primary receptionist for visitors. Screens and directs telephone calls to appropriate staff or assesses issue presented and directs caller to the next course of action (ie: referral, completing intake forms, walk-in emergency, etc.); distributes incoming mail and processes outgoing mail; assesses new client requests for services, verifies student status and eligibility, checks for conflicts of interest, schedules new assignments among legal interns while maintaining balanced caseloads and matching specific issues with appropriate attorney/intern combination.
  • Serves as back up for processing matters for opening and closing, recording upcoming court appearances on both file and calendar. Formats, edits and sends letters, memos, faxes, emails, for staff attorneys and interns; updates files and complex databases accurately and with appropriate coding; tracks data and composes complex reports; responds to outside inquiries regarding departmental and University policies and procedures; communicates messages to and from various individuals; schedules meetings and appointments for attorneys and tracks data relating to hearings and appointments for assessment purposes.
  • Assists Office Manager with logging, distribution, and processing payment of legal fees from both clients and adverse parties maintaining separation of duties. Maintains payment logs and monitors balances for payoffs.
  • Participates in orientation training for new legal intern staff and guides them throughout their internship relating to office policy, protocol and procedures.
  • Composes intern schedule 6 times a year and updates regularly as changes occur.
  • Processes all requests for service by either requesting additional information, referral, scheduling, opening or closing.
  • Maintains appointment as a Notary Public in the State of Indiana.

General Responsibilities

  • Assists with administrative needs related to the daily operations, planning, and implementation of student support initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
  • Serves as a liaison to campus partners for cross-departmental student support initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains student records and databases.
  • Schedules student appointments and provides directions, support, and information to students and other visitors to the department.
  • Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
  • Assists with ordering or creation of promotional materials for student organizations or departmental needs.
  • Takes on tasks of increasing complexity, such as performing benchmarking research of student support initiatives at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness.
  • May provide guidance to other Student Support Coordinators.

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED).

Preferred

  • Associate's degree in office management or related field.

WORK EXPERIENCE

Required

  • 4 years in office environment, higher education, or related field.

LICENSES AND CERTIFICATES

Required

  • Notary Public in the State of Indiana.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

$23.31 per hour

Standard hours are Monday - Friday, 8:00am - 5:00pm.
