The Hamilton Lugar School of Global and International Studies (HLS) is a leader in the study of international affairs and the languages, cultures and perspectives shaping our world. HLS takes a multidisciplinary approach to global education, offering instruction in over 80 languages, the most in the country, and helping students develop cultural fluency and expertise in nearly every region, including Africa, Russia, Latin America, Europe, Asia, and the Middle East.
Department Specific Responsibilities
- Assists with administrative travel arrangements, prepare guest itineraries, and process honorarium paperwork and documentation for visiting policy leaders and external stakeholders.
- Handles food and beverage ordering, manage catering pickups, and oversee on-site food setup and clean-up.
- Designs promotional flyers (using tools like Canva or Adobe Express), format program assets, and coordinate printing and distribution of event handouts and materials.
- Collects, logs, and tracks receipts and expense documentation for reimbursements and departmental purchasing in alignment with IU financial guidelines.
- Provides day-to-day administrative and organizational support to the Director of Policy Engagement and Strategic Partnerships to ensure smooth program implementation.
- Coordinates room reservations, venue setup, technology checks, and post-event takedown for HAMILTON LUGAR SCHOOL policy workshops, lectures, seminars, and evening skill-building series.
EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
SKILLS
Required
- Excellent written and verbal communication skills
- Strong organization skills
- High level of professionalism and confidentiality needed when interacting with guest speakers, faculty and University Leadership
- Basic proficiency with visual design tools (Canva or similar) and standard university software (Microsoft Office, Google Workspace).
- Ability to lift and move light event supplies during room setup and takedown.
$16.00 to $18.00 dependent on skills and experience
Primarily daytime administrative support with periodic evening availability required for signature events
10-12 hours per week
