About the Office of the Vice President for International Affairs (OVPIA) (IU Global)

The Vice President for International Affairs and the teams of staff in OVPIA's offices are the stewards of international activity across all campuses of Indiana University (IU). We provide strategic leadership and advocacy for all international programs and projects and coordinate the resources necessary to sustain their growth. Our goal is to enable as many students, faculty, and staff as possible to pursue international and intercultural knowledge and experiences and to become engaged global citizens. OVPIA provides leadership and support for IU's international efforts.

Within IU Global, the Office of International Services (OIS) is dedicated to helping international students and scholars achieve their goals. Our staff recruit, admit, and enroll international students from all over the world. We provide social and cultural programming and visa- and immigration-related advising among other assistance to all international students and scholars. Department Specific Responsibilities

  • Serves as the first point of contact for visitors to the Ferguson International Center on the Indiana University Bloomington campus.
  • Triages or answers visitors' questions.
  • Directs or escorts visitors to the appropriate office or conference room.
  • Maintains awareness of events and meetings in the building.
  • Accepts documents from and distributes documents to visitors.
  • Preserves the appearance and welcoming environment of the front desk and lobby.
  • Facilitates the setup and takedown of physical spaces for events in the Ferguson International Center.
  • Provides general assistance with using audio and visual technology in conference rooms.
  • Maintains a front desk presence during events that may occur after business hours or on weekends.
  • Supports IU Global units, including the Office of International Services, Education Abroad, and International Partnerships.
  • Files, copies, scans, completes data entry, generates letters, sorts and distributes incoming mail, prepares domestic and international mailings, responds to emails.
  • Performs duties as assigned.

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

EDUCATION

Required

  • Currently enrolled as a student at Indiana University.

WORK EXPERIENCE

Required

  • Some office-related experience.

Preferred

  • 1 year of office or related experience in a university setting.
  • Experience handling complex customer service situations.
  • Previous office experience.

SKILLS

Required

  • Excellent customer service and communication skills.

  • Exceptional attention to detail and organizational skills.
  • Ability to multi-task, meet deadlines, and use discretion in handling confidential information.
  • Experience using Microsoft Office suite, Windows, and standard office equipment.

Preferred

  • Knowledge of the IU Bloomington campus.
  • Interest in international affairs.
  • Ability to have flexible availability is preferred.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. Occasional domestic travel is required. The person in this role must be able to perform the essential functions with or without an accommodation.

IU Global is seeking 3-4 hires from this posting.

Ferguson International Center

$12.00-$13.00 per hour

Up to 15 hours per week.

Available to work regular shifts between 8:00 AM and 5:00 PM Monday - Friday

Shifts after-hours or on weekends as needed.
