The Indiana University (IU) Department of History teaches almost 5000 undergraduates annually in courses about subjects ranging from Ancient Greece to contemporary China . In small seminars and lectures, our students learn directly from a distinguished faculty of 50 professors . In internships, career workshops, and independent research projects, IU History undergraduates prepare for careers in business, law, education, public service, and the arts, among other fields.

Department Specific Responsibilities:
- Tracks expenditures using Excel as needed and prepares regular financial account statements.
- Monitors and reconciles financial transactions for more than 100 departmental and faculty research accounts, ensuring accuracy, resolving errors and discrepancies, and confirming compliance with university policies, guidelines, and budget requirements.
- Partners with the Chair and Multi-Unit Fiscal Officer to manage the Chair's discretionary budget, including monitoring and processing fund transfers for commitments supporting other departments, programs, conferences, lectures, and academic events.
- Oversees or perform daily financial transaction processing for employee and non-employee purchasing and travel; establishes visitors and vendors in Buy.IU and ensures transactions comply with IU policies and procedures.
- Processes error corrections, fund transfers, and cash receipt deposits; serves as a liaison between travelers and the IU Travel Office; and reconciles the department Pcard.
- Assists with the department's complex recruitment Fellowship process, as well as Undergraduate and Graduate spring award processes.
- Manages IU Foundation (IUF) accounts and verifies that expenses comply with donor intent.
- Processes student fellowships, scholarships, and awards in Student Information System (SIS), including submitting IUF Scholarship and Award Reimbursement eDocs to support scholarship and fellowship payments.
- Processes Foundation Endowment Management transactions.
- Processes faculty service engagements in BUY.IU.
- Initiates hourly employee hires and related transactions.
- Completes required on-the-job training and maintains IU-proprietary certifications necessary to access and utilize IU systems.
General Responsibilities
- With minimal supervision, performs financial and administrative tasks related to processing financial or other administrative records.
- Takes on more complex assignments and provides guidance to lower-level Financial Administration Coordinators.
- Maintains records of financial transactions, compiles data, and prepares reports. May oversee the processing of documents into the university's central information systems (Travel, Kuali Financial System (KFS), Human Resource Management System (HRMS), etc.).
- Investigates and resolves discrepancies that require more advanced knowledge and experience; following policies and procedures, recommends audits.
- Assists in designing, documenting, and implementing processes.
- Processes payroll and verifies accuracy of payroll information. Verifies accuracy of adjustments to payroll including supplements and garnishments.
- Monitors financial accounts and ensures timely payments are made to payees.
- Responds to inquiries regarding financial and/or personnel policies and procedures. Takes the lead on the most complex cases within their scope of work.
- Serves as liaison to department and/or other university divisions.

EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED).
Preferred
- Associate's degree.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
