The Office of the Vice President for Student Success, Enrollment and Institutional Effectiveness (OVPSSEIE) oversees Indiana University's (IU) commitment to fostering the educational, personal, and professional success of its students both during their time at IU and beyond. By providing comprehensive oversight of IU's student success strategy, enrollment services, strategic initiatives, accreditation policies, and institutional analytics, the office plays a pivotal role in advancing the university's core missions of teaching, research, and service, while continuously enhancing the student experience.

UES Mission Statement

University Enrollment Services (UES) at Indiana University is a strategic enrollment management team that delivers centralized support to campus-based admissions, financial aid, military-connected services, 1-stop, and registrar units. Part-time federal work study student staff members will work to support the UES Admissions Operations team by assisting with data entry related to the processing of undergraduate admissions material (ex: high school transcripts, college transcripts, test scores, etc.). The position provides valuable experience in higher education administration, customer service, data management, and university operations.

Department Specific Responsibilities

  • Performs data entry and verification tasks associated with the intake of admissions supporting documents for undergraduate applicants at all IU campuses and IU Online.
  • Acquires and maintains knowledge of admissions processing, admissions workflows, and data entry environments, specifically the PeopleSoft IU Student Information System (SIS), Technolutions Slate, and other internal systems.
  • Supports university admissions with special projects and peak application processing needs.

EDUCATION

Required

  • Currently enrolled as an undergraduate student at Indiana University with federal work study eligibility.

WORK EXPERIENCE

Preferred

  • Professional office experience or similar relevant experience in a customer service environment.

SKILLS

Required

  • Basic computer skills, including a working knowledge of Microsoft Teams.
  • Commitment to accuracy and high level of attention to details.
  • Strong organizational and multitasking skills and ability to meet deadlines.
  • Ability to maintain confidentiality of student records in accordance with Family Educational Rights and Privacy Act (FERPA) and university policies.
  • Strong written and verbal communication skills.
  • Ability to remain focused on the task at hand while dealing with shifting priorities.
  • Dependable attendance and punctuality.
  • Ability to think critically when working with complex data sets.

This position requires a high degree of integrity and accountability as problems detected in the processing workflow may impact a student's admission status. Discrepancies directly influence the outcome for the student, therefore involves a mastery level for attention to detail. The ability to develop and maintain consistent daily standards of individual and team performance. Must be able to perform essential job duties with or without reasonable accommodation.

Equipment Requirements (if remote):

  • A high speed, stable internet connection
  • A quiet, private work environment
  • A personal computer running at least Windows 10 or a Mac running Catalina
  • Dual monitor set up (at least 14 inches each)
  • A full, standard-size keyboard and mouse (trackpad will not suffice)
  • A webcam for Microsoft Teams video conferencing
  • A headset with microphone or speakers and a separate microphone
  • Ability to connect to Cisco Secure Client VPN and connect to IUanyWare
  • If the personal equipment does not meet these standards, a person in this role may be able to be loaned university-owned equipment, subject to the applicant's location

This is a temporary position with variable hours from 10-15 hours per week based on the cycle of admissions work, which is at it's peak from October to the end of November.

Work Schedule:

  • Work can only take place from Monday through Friday
  • Work must be completed in 3-hour increments at minimum unless approved by supervisor
  • Work times available are from 9:00 AM to 4:00 PM with expanded work times available after probationary period has ended, based on supervisor approval
  • Typical weekly schedule:
  • 15 hours per week (3 hours worked per day, Monday -Friday)
