The Indiana University School of Medicine (IUSM) is the largest School of Medicine in the country. The Bloomington regional campus is the largest campus outside of Indiana, and hosts 100 medical students, 35 graduate students, over 400 baccalaureate students pursing a minor in Medical Sciences, and thousands of baccalaureate and graduate students enrolled in our medical sciences courses. Our faculty includes basic and translational science research faculty in Cell and Molecular Cancer Biology, and educational research faculty in Anatomy; teaching faculty who support the baccalaureate, graduate, and medical doctorate teaching missions, and over 250 adjunct faculty in our region.
The IUSM-Bloomington enjoys close relationships not only with the other Schools on the Bloomington campus, but also with the Simon Cancer Center, the statewide Clinical and Translational Science Institute, Regenstrief Institute, and IU Health South Central Region. In the next few years, our campus will launch the first ever Graduate Medical Education programs in Bloomington in Emergency Medicine and Internal Medicine. These medical residencies will deepen our relationship with IU Health and the IUSM Graduate Medical Education office, and improve the medical care provided for nearly half a million patients in the South Central Region of Indiana.
Department Specific Responsibilities
- Coordinates, processes, verifies, and maintains all aspects of hiring for students and staff: background checks, I-9 verifications, student academic appointments, work authorizations, work study.
- Issues all eDocs associated with position, changes with work areas, hourly wage increases, funding changes and reports to changes.
- Manages payroll, Paid Time Off (PTO) reporting, and audits timekeeping records and payroll reports to identify errors and ensure compliance with policies and deadlines.
- Handles all aspects of student academic appointments including coordinating contracts, entering fee remissions in Student Information Systems (SIS).
- Issues graduate student fellowships and work with international students on visa questions and applying for social security number.
- Process hourly appointments for undergraduate teaching assistants (UTA).
- Assists with scanning documents and manage filing system, recording keeping for payroll documents.
- Helps employees understand payroll information, including deductions, taxes, benefits, and payroll calendar.
- Responds to employees' inquiries and requests and explains policies and procedures.
General Responsibilities
- Under moderate supervision, performs financial and administrative tasks related to processing financial or other administrative records.
- Processes documents into the university's central information systems (Travel, Kuali Financial Systems (KFS), Human Resource Management System (HRMS), etc.) and verifies that information is correct. Investigates and resolves discrepancies in financial documents.
- Maintains records of financial transactions, compiles data, and prepares reports.
- Verifies accuracy of adjustments to payroll including supplements and garnishments. Audits, coordinates, and processes payroll; verifies accuracy of payroll information.
- Confirms available accounts and ensures timely payments are made to payees.
- Responds to inquiries regarding financial and/or personnel policies and procedures.
- Serves as a liaison to department and/or other university divisions.
- May provide guidance to lower-level employees on their day-to-day work.

EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED.)
Preferred
- Associate's degree.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
