The essence of a great music school is its faculty, and the more than 180 full-time faculty members in residence at the IU JSoM include performers, scholars, and teachers of international renown. In addition, many top musicians and scholars come to the school each year to give master classes and guest lectures or to serve as visiting artistic directors, conductors, and faculty.

The breadth and number of performance opportunities are unparalleled in college music study, with the school offering more than 1,100 performances a year, including fully staged operas and ballets. The school's facilities, including 5 buildings located in the heart of the IU Bloomington campus, comprise of outstanding recital halls, more than 170 practice rooms, choral and instrumental rehearsal rooms, and more than 100 offices and studios.The grandest facility is the Musical Arts Center, which features technical capabilities that are among the best in the nation.

The Jacobs School of Music seeks a highly organized, service-oriented individual to serve as Development and Events Coordinator. This position plays an important role in coordinating the efforts of the Jacobs School of Music Development Office in the areas of donor relations and stewardship, development communications, events and engagement, data management, project coordination, and administrative support.

Department Specific Responsibilities

  • Works closely with development staff and partners across JSoM, IU Foundation, IU Alumni Association, and IU to support donor cultivation and stewardship activities and deliver high-quality donor and alumni experiences.
  • Coordinates donor relations and stewardship activities that strengthen relationships between the Jacobs School of Music and its donors, alumni, and friends.
  • Coordinates and supports development events, including donor cultivation and stewardship events, receptions, dinners, performances, alumni gatherings, donor recognition activities, and other special programs.
  • Manages event logistics, including timelines, guest and invitation lists, RSVPs, venues, catering, parking, technology, signage, event materials, and day-of-event coordination.
  • Supports donor stewardship, including gift acknowledgments, donor recognition, thank-you correspondence, impact communications, and other stewardship activities.
  • Prepares and coordinates donor and prospect communications, including correspondence, invitations, briefings, proposals, stewardship materials, and other print and digital communications.
  • Assists development staff with donor and prospect visits by coordinating schedules, itineraries, meeting materials, briefings, and related logistics.
  • Maintains and updates donor, prospect, alumni, and constituent information in university advancement systems.
  • Assists with development budget administration, purchasing, invoices, and reconciliation of development and event expenses.
  • Serves as a professional and welcoming point of contact for donors, alumni, friends, faculty, staff, students, and other constituents of the Jacobs School of Music.
  • Collaborates with colleagues throughout the Jacobs School of Music and university advancement community to identify opportunities for donor and alumni engagement.
  • Maintains confidentiality and exercises discretion when handling donor, prospect, gift, and other sensitive information.
  • May assist with special development projects and initiatives as assigned.
  • Supports donor cultivation, stewardship, engagement, and fundraising activities through coordination, data management, and administrative support.
  • Cultivates donor and constituent relationships through professional communications, responsive customer service, and engagement activities.
  • Maintains and updates prospective and current donor information and coordinates information with development officers and university advancement partners as appropriate.
  • Coordinates a variety of events and manages event timelines, logistics, vendors, catering, technology, signage, equipment, and other event components.
  • Tracks event attendance, engagement, expenses, and other relevant information and identifies opportunities to improve future events and activities.
  • Ensures development activities and events adhere to university policies, procedures, contracts, agreements, and applicable guidelines.
  • Provides an excellent donor and constituent experience through customer service, active listening, thoughtful communication, and a high degree of professionalism.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED).

WORK EXPERIENCE

Required

  • 1 year experience in development and/or events planning.

Preferred

  • Experience in fundraising, development, advancement, alumni relations, events, higher education, arts administration, nonprofit organizations, or a related field.
  • Experience coordinating events, projects, or constituent engagement activities.

  • High level of initiative and ability to identify opportunities for collaboration and engagement.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with Indiana University and Indiana University Foundation advancement systems.
  • Interest in music, the arts, higher education, or the mission of the Jacobs School of Music.
  • Comfortable asking clarifying questions and taking initiative in equal measure.

This is an in-person position.

$20 - $23 per hour, based on qualifications.

20 - 25 hours per workweek with a flexible schedule.
