AUXILIARY SERVICES ADMINISTRAT (BA-AXAD-IUBLA)

This position will manage the overall operation of assigned applications in the role of the system admin. This includes application setup, maintenance, data security, troubleshooting, documentation, testing and training. This position is a point person for both IT staff and end users for all assigned applications; assigned applications may include systems supporting housing, dining, hospitality, hotel operations, event management, point-of-sale, card management, and physical access services.

Department-Specific Responsibilities

  • Provides support and technical direction for problem resolution to all end users for all managed systems.
  • Maintains intermediate knowledge of the concepts, business practices and procedures of tasks related to managed applications.
  • Evaluates problems and suggests technical solutions and supports team decisions
  • Interprets information, ideas and instructions and communicate clearly and accurately both verbally and in writing including materials intended for distribution. Documentation of applications from an administrative and end user perspective.
  • Determines causes of unusual occurrences and apply standard principles and practices to determine and implement solutions; ensures safe practices and environmental consciousness are exhibited in decisions.
  • Responds to emergency situations for door access and dining systems during and after regular business hours.
  • Manages the operation of all assigned applications.
  • Supervises the exchange of data between interconnected applications.
  • Develops and revises specifications for new functionality, tests system upgrades and enhancements, and works with vendors, University Information Technology Services (UITS) and other technical personnel to revise, enhance, and repair system functionality.
  • Performs high level technical analyses, assessment of application deficiencies, refines technical and business processes to ensure adherence to best practices for areas such as compliance, security, testing and training.
  • Receives and assesses requests for access to managed applications in accordance with policies and guidelines established by the Committee of Data Stewards and department standard operating procedures.
  • Ensures that users receive and complete University mandatory compliance trainings and department training as dictated by the requirements of the particular data subject area to which they are assigned.
  • Reviews inventory of secure information and ensuring up to date adherence to the policies and guidelines established by the Committee of Data Stewards in regards of securing the information.
  • Performs daily checks to ensure uninterrupted and accurate data connections between internal and vendor applications.
  • Represents the department on various departmental and campus committees and work groups.
  • Assists management in suggesting product upgrades and revisions and working with other financial and information technology staff members and vendors to negotiate products and services.

General Responsibilities

  • Provides customer support through provisioning, creation of projects or workspaces within applications, and/or customizing products to customer specifications.
  • Troubleshoots and analyzes problems and bugs in applications and products.
  • Supports the testing and production use of applications and products.
  • Performs upgrades, releases, customization, and documentation of work according to team's established methodology.
  • Collaborates with technical and functional business clients and teams within the central information technology organization.
  • Assists in project planning, formulating objectives, estimating tasks, and evaluation of customer requests.

EDUCATION

Required

  • Bachelor's degree (preferably in computer science, business systems, or related field)

WORK EXPERIENCE

Preferred

  • Experience in customer and application support or related field
  • 2 years of project management, system development, and maintenance experience associated with administrative support applications
  • Experience within higher education
  • Experience supporting hospitality technology, hotel management systems, event management platforms, card managements systems, physical access solutions, or point-of-sale systems

Preferred

  • Proficient in Oracle Opera, Amadeus, Illumia Cloud POS, Illumia products, card management, and access control systems or comparable hotel management, event management, dining, and transactional platforms
  • Ability to support integrated systems, payment connectivity, credential management, reporting, access administration, and vendor-managed cloud applications
  • High level of competency with Microsoft Office software
  • Understanding of SQL and basic relational database concepts
  • Understanding of SIS and other university systems

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
