Position Summary

Paragon Force, Inc. is seeking an Administrative Manager I to support environmental operations. This junior-level position is responsible for coordinating and supporting administrative operations that enable efficient execution of contract activities and organizational objectives. The Administrative Manager I serves as a key resource for administrative services, office operations, records management, travel coordination, communications, and operational support functions.

The successful candidate will assist with managing administrative processes, coordinating resources, maintaining records, supporting personnel and project activities, and implementing procedures that improve operational efficiency and customer service. This position requires strong organizational skills, attention to detail, and the ability to work effectively with government personnel, project teams, and corporate support functions.

Essential Duties and Responsibilities

  • Coordinate and support day-to-day administrative operations for environmental programs and contract activities.
  • Assist with the development, implementation, and improvement of administrative procedures, workflows, and office practices.
  • Maintain and organize contract records, files, correspondence, reports, and other program documentation.
  • Support records management activities in accordance with customer, contractual, and regulatory requirements.
  • Coordinate travel arrangements, conference attendance, meeting logistics, and related administrative support activities.
  • Assist with scheduling meetings, preparing agendas, documenting meeting minutes, and tracking action items.
  • Support payroll, timekeeping, personnel administration, onboarding, and workforce coordination activities as assigned.
  • Coordinate office supplies, equipment, materials, and inventory to ensure operational readiness.
  • Assist with procurement requests, property accountability, supply distribution, and asset tracking activities.
  • Support telecommunications, information management, and administrative systems used by project personnel.
  • Prepare reports, spreadsheets, correspondence, presentations, and other administrative documents.
  • Serve as a point of contact for administrative inquiries from employees, customers, subcontractors, and corporate personnel.
  • Monitor administrative processes and recommend improvements that enhance efficiency, productivity, and customer service.
  • Assist with security-related administrative requirements, visitor coordination, and access documentation as required.
  • Support contract reporting, audits, inspections, and compliance reviews.
  • Coordinate administrative activities with project managers, operations personnel, scientists, engineers, and government representatives.

Required Qualifications

  • Associate degree in any field from an accredited institution.
  • Minimum of two (2) years of professional experience in management, operations, administration, office management, program support, or a related field.
  • Ability to obtain and maintain a Secret Security Clearance.
  • Strong organizational and time management skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to manage multiple priorities and deadlines in a dynamic work environment.
  • Strong written and verbal communication skills.
  • Attention to detail and commitment to accuracy.
  • Ability to work independently and as part of a multidisciplinary team.

Preferred Qualifications

  • Experience supporting Department of Defense or federal government contracts.
  • Experience with records management, travel coordination, office administration, or program support functions.
  • Familiarity with government documentation, reporting requirements, and administrative procedures.
  • Experience supporting project managers, operations teams, or environmental programs.
  • Knowledge of property accountability, procurement processes, or inventory management practices.
